Data Practices

A clear view of what Mail Audit uses—and what it does not store.

This page is the short, plain-language companion to the full Privacy Policy. It is designed to help users understand the product before installing or signing in.

1. Why Mail Audit needs data

Mail Audit needs limited account and email metadata to create a tracking record, connect that record to the sender, detect supported image-load events, and display the result in the extension and dashboard.

Single product purpose

The information is used to provide Gmail email-open tracking and related engagement history. It is not used to create advertising profiles or for unrelated browsing analysis.

2. Information processed by Mail Audit

Google account profile

Name, email address, profile image, account identifier, and sign-in session data.

Tracked-email metadata

Sender, recipient, subject, tracking ID, status, open count, and timestamps.

Open-event metadata

Event time, IP address, user agent, and supported self-open classification.

Technical information

Limited logs and analytics used for reliability, security, and product improvement.

3. Information Mail Audit does not store

  • The text or HTML body of tracked emails in the Mail Audit database.
  • Email attachments.
  • Your Gmail password.
  • Unrelated browsing history outside the extension's disclosed Gmail purpose.
  • Credit-card information, because Mail Audit currently does not directly collect payment details.

4. What happens inside Gmail

The Chrome extension runs on Gmail so it can detect a compose window, identify the sender, recipient, and subject, insert the invisible tracking image, display tracking indicators, and show supported open status information.

Access should remain limited to the permissions necessary for these user-facing features. The extension should not use Gmail access for unrelated purposes.

5. Google authorization

Google sign-in is used only to authenticate your Mail Audit website account. The Chrome extension does not request Gmail API read or send scopes and does not receive your Gmail password.

Email tracking is added through the Gmail compose interface after you choose to send, while account access remains managed by Google sign-in.

6. Email tracking limitations

  • An open event is generated when the tracking image is loaded.
  • Some email providers proxy, cache, preload, or block images.
  • Multiple image loads may create multiple events.
  • A missing open event does not prove that the message was not read.
  • Users remain responsible for providing notices or obtaining consent where required.

7. User controls

Stop future tracking

Disable Mail Audit or uninstall the extension to stop new tracking activity in Chrome.

Delete stored records

Use the Data Deletion page to request deletion of the verified Mail Audit account and associated server-side records.
These disclosures must always match the final extension code and Chrome Web Store privacy declarations.
